Office & Arts Administrator

Dear Friends, 

We are thrilled to announce that we are hiring an Office & Arts Administrator to be part of our team. This crucial front-of-house position will represent the Watauga Arts Council and support the agency's administrative needs as we serve the community.  

Hiring for this position marks a milestone in growth for WAC and, thus, an ability to provide even more support for artists, art access for the community, and an increased ability to advocate for the arts in Watauga County. Beth Shanklin joined the WAC team this spring as a part-time High Country Arts Project Manager and Media Coordinator. She helped us successfully produce our High Country Arts Map and has been working hard to prepare our new arts directory for launch. 

Funding for these positions is possible because of grants we have received through the NC Arts Council. The grants are providing a ramp for us to gain momentum to generate support and revenue and sustain the positions beyond this initial year. Getting to this point of growth is all possible because of the support and participation we have received from the community along the way - artists, event participants, donators, volunteers, grantors, sponsors... so many people! Employer Description

The Watauga Arts Council (WAC) is a non-profit organization that advocates for the arts in the High Country. We seek to inspire the community with the skills, provide educational opportunities, and support local artists through grants, exhibition opportunities, and professional development. We also advocate for the arts with local and state leaders. In collaboration with community partners, we offer events such as Buskers Fest, Concerts in the Garden, Art Instrumental, and Boonerang Music and Arts Festival. Our office is at State Farm Road/Shadowline in Boone, NC.

Essential Job Functions

We seek a self-motivated, collaborative team member to represent WAC in our Boone office. The [Office Support Associate] is responsible for performing various administrative and office support functions for the Watauga Arts Council, including general office and front-of-house management, oversight of volunteers and interns, communications, and education support.

Knowledge, Skills & Abilities Required for this Position

The position requires an individual comfortable in a dynamic, fast-paced organization—a self-motivated individual driven to make positive changes in a sometimes ambiguous environment.

Ability to multi-task and communicate with stakeholders, including community members, artists, staff, Board of Directors, students, teachers, interns, and volunteers.

Ability and drive to build efficient systems, policies, and procedures in a growing organization.

Skilled at providing excellent customer service to various organizations and individuals while maintaining a positive and approachable demeanor.

Ability to maintain the confidentiality of sensitive materials and information.

A warm yet professional disposition is required, and the candidate must communicate positively the expectations, needs, and challenges that arise within the work environment.

Required Functional Competencies to Successfully Perform Job Duties

Administrative coordination

Facilitate the flow of work within the organization, including calendar, scheduling, email, and record management. May develop new processes or procedures relevant to the support needs of the office and organization. Solve recurring and unique problems aiming towards efficiency, alignment with our mission, and customer service.

Intern and volunteer management

Maximize our human resources by delegating work to and training interns and volunteers. Be available for any concerns or questions from interns and volunteers.

Communications leadership

Greet guests in the office and represent the mission and spirit of WAC. Send email and social media communications needs to communications interns. Take photos of the daily activities of the organization to share.

Education Management

Prepare payments for teachers, and help register students for classes when needed. Utilize and streamline our class management systems.

Qualifications

Graduation from a two-year business administration program, three years of related office experience, or an equivalent combination of education and experience.

Diplomas or degrees must be received from appropriately accredited institutions.

Preferred Qualifications

Three years of progressively responsible administrative/office management experience.

Knowledge of matters about arts administration and/or an interest in the local arts community.

Experience working with a diverse group of people.

Experience delegating and managing.

Working knowledge or ability to learn various software, including Google products, Jotform, Squarespace, Basecamp, donor management, etc.

Familiarity with various social media platforms. Excellent writing and communication skills are essential.

Physical Demands of Position

Typical physical demands of a professional office position, including ergonomic stresses related to a majority of work time spent at a computer, some lifting (i.e., lifting of heavy paper boxes or computers)
